Client Terms & Disclosure Agreement**

This Agreement outlines the expectations, responsibilities, and policies for all clients utilizing services provided by The Entry Co., also known as The Entry Consultant LLC (“Service Provider”). By submitting an application and/or using this service, the Client agrees to all terms below.

Scheduling, Availability & Application Requirement

  • Every client must complete the official application form before any services begin. This ensures accuracy, verifies eligibility, and allows the Service Provider to properly build and manage your file.

  • If you are not on the calendar, you will be charged an additional fee. All time is valuable—yours and the Service Provider’s—and work must be scheduled to maintain order and meet deadlines.

  • A Client is added to the work calendar only after their application is submitted, reviewed, accepted, and a start date is confirmed.

Contracts, Agreements & Required Documentation

  • Upon acceptance of your application, you will receive a Service Contract and Disclosure Agreement, both of which must be signed and kept on file before services begin.

  • The Service Provider will maintain confidential records including payment information, registration papers, Social Security numbers (for W-9 purposes), and incentive eligibility details.

  • Trainers must have written owner authorization to enter any horse through this service.

  • Owners with multiple horses and trainers in shared portals will have entries managed accordingly.

Account Information & Client Responsibility

Clients are responsible for:

  • Submitting accurate and up-to-date horse information, including:

    • Correct AQHA registration papers

    • Incentive & nomination records

    • Eligibility documentation

  • Notifying the Service Provider within 30 days of any new foal purchase or ownership transfer.

  • If the Client fails to notify the Service Provider of an ownership change and a late payment is missed as a result, the Service Provider is not responsible for tracking down new owner data or covering late fees.

Veterinary Incidents & Scratches

  • If a horse becomes ineligible due to injury, illness, or vet-related issues—whether the Client notifies the Service Provider or not—service fees are not refunded under any circumstances unless specifically allowed by the event producer.

  • The Service Provider does not withdraw, reverse, or reimburse service charges once work has been completed.

Login Access & Entry Portals

  • Riders who use portals such as Saddlebook, Pink/Ruby Buckle, or others must provide login access or the necessary credentials so the Service Provider can enter the information on their behalf.

  • All login credentials will be handled confidentially and used solely for the purpose of completing entries and nominations.

Last-Minute Entries

  • Riders, owners, and trainers must submit last-minute horse entries as soon as they know, with complete and correct information attached.

  • Late fees charged by producers may still apply and are the responsibility of the Client.

  • The Client must specify who checks should be made out to (owner or rider).

Payment Terms

  • The Service Provider charges $50 per hour at 1 hour minimum. 

  • Hourly rates are subject to change, and Clients will be notified in advance before any adjustment goes into effect.

  • Clients may choose to pay:

    • Half upfront, with the remaining balance due once all required information is gathered, or

    • Payment in full upfront at the start of service.

  • Entry and nomination confirmations will be sent to the email provided in the application.

Futurity Scheduling & Calendar

  • Futurities listed on the Service Provider’s calendar are subject to change.

  • Not every futurity will be listed; additional events will be added as needed once the Client communicates desired schedule details.

  • If the Client wants to cancel an event entry, it is their responsibility to contact the producer directly.

Subscription & Cancellation

  • Clients receive a 3-month, no-obligation period to evaluate the service.

  • After 3 months, a full-year service commitment will be billed unless canceled beforehand.

  • Upon cancellation, all records associated with the Client will be terminated and removed from the system.

The Entry Co. reserves the right to refuse services at its sole discretion.
